Tightening up the Tenth June 25, 2009 2:53 PM Subscribe
The 10th parties are less than a month away, and there have been a few common questions since we launched the 10th site on May 5th. Since the actual parties are getting close, we thought we'd nail down a few things as well. In short, I'll cover deadlines for nominations and scheduling as well as payments.
We've got to curtail the mish-mash of planned and unplanned meetups as well as lay out our ideas for payments to party planners well before the events actually take place. So here it is:
1) If you have 3-10 people attending, have your meetup and then take a photo of the final bar tab and upload it to flickr with the tag mefi10tab (your other photos should have mefi10 on them). I'll paypal $50 to the party organizer we have on file a few days after the parties are over.
2) If you have 10+ people, do the same and a few days later I'll paypal $100 to the organizer.
3) On July 1st, we'll no longer accept new city nominations to go into planning. We're closing in on two months of planning so far and at some point we need to close it before the parties are starting.
4) On July 7th, we'll cut the parties listed as still in planning stages, keeping just the scheduled ones.
Cutting down on the number of cities still in planning makes the whole lining up of paypal a lot easier. We aimed for at least 3 people because it didn't make much sense to help fund a meetup with just a member and their spouse. We'll reimburse after the parties and I'm looking forward to seeing what the total global bar spending tab is for the whole event. If you have any further questions, drop them in here.

Wow. I live with two other mefites. We could post a meetup, go across the street to The Bench Warmer, get hammered BEFORE driving to LA? On MATT? PLAN!

Yeah, we're basing the numbers off the numbers found on the meetup pages themselves, so ten real members have to be going.

BB, you could always buy mefi accounts for some hobos in advance of the meetup.

Receipt, photographic proof, and a proper meetup set up on the Ten site, no cash in advance. If you can manage all that, you can drink wherever you like, probably.

Heh. Well, booze isn't technically allowed in the park, and we're having another meetup that same night at an actual bar, so the thought was more facetious than anything. But if you're serious about reimbursing us for food and drink, I'll put in at least a little legwork toward getting the LA parks meetup folks a keg of root beer or some other pop (I've had keg root beer a couple times and I'd kinda like the challenge of finding it again, though I doubt we'd get fresh Sprechers out here) and maybe a few bags of Doritos or something.

Well, the idea is basically "mefi helps cover your bar tab", not "mefi gives you money if you can find a way to spend it". I was being probably too-literal and treating your question as not facetious, so we should probably just call this one a wash.

I'm kinda unsure how you'll get this number. Aside from a photo of each tab you're covering, won't people be buying their own drinks and either paying for them at the time, or simply running their own tabs?

This. At current count, MeFiMeeTupBosTen has 53 people coming. Putting everyone on the same tab would be impressive, but a recipe for disaster. Even discounting the possibility that someone would skip on their portion of the tab, it'd just be a nightmare to collect from people and count the money.
Even buying a round for everyone would get expensive* unless we do it sneakily before the party has more than 20ish people.
Is it OK if I order 8 or 10 items off the appetizer menu and tell people to enjoy the MatHowie Mozzarella Sticks and Jessamyn Spinach Dip?**
*Downsides to living in the city include: Lack of $2 beers to facilitate cool shit like buying a round for everyone in the house.

I think this is a good plan. Have everyone pay for their own drinks in general, but once there's some reasonable sort of quorum, get a hundo worth of platters. (Or if food is somehow off-limits, pitchers), put it on your own tab for later reimbursement.

For the San Diego meet-up at Stone, I figured people would buy their own drinks and/or tickets for the beer fest, and I'd use MeFi money to buy bunches of snacks that are otherwise kind of pricey. In the interest of having more impressive documentation of booze consumed, though, I'll make everyone draw pictures of all their drinks and money spent on them.

Ok, so the total tab thing is a wash. I was kind of hoping I could get a real number (maybe an estimate from the organizer afterwards will suffice).
It'd come in handy if in the future we want to rent out a bar and throw a big MeFi shindig, I can be all "OH YEAH, WELL WHEN WE SHOW UP, WE MAY SPEND UP TO $23,984.23 IN A SINGLE NIGHT!" and actually know what I'm talking about.

As well, I don't know how the math would work out, but have you considered $x per confirmed attendee? Yeah, it would make some places like Toronto expensive i.e. at $4, 50 people = $200, but meet-ups with only 3 or 4 people would cost you next to nothing. That way you'd basically be grabbing a drink for everyone, and you wouldn't be responsible for small meetup attendees getting too belligerent.
